Who we are
Virtual Islamic Academy is an online teaching academy based in Pakistan. This notice describes the personal information we handle when you visit our website, enquire about classes, create a portal account, study with us or apply to teach. What we collect
The information depends on how you use the Academy:
- Contact and account details, including names, email, phone number, password credentials and timezone.
- For students, date of birth, guardian name and phone number where needed, course enrolments, class schedule, attendance, learning notes, worksheets, quiz answers and support messages.
- For tutors, application answers, teaching profile, qualifications, availability, class records and signed agreement information.
- Enquiry and contact-form details, signed registration letters, and technical information needed to operate and protect the site. If you opt in, the public site uses Google Analytics; the private portal does not load it.
Please avoid putting unnecessary sensitive information or private contact details into class notes and messages.
How we use it
We use this information to respond to enquiries; create and secure accounts; arrange tutors, classes and video rooms; deliver teaching and feedback; handle support and safety concerns; send service messages; and maintain enrolment and agreement records. With your choice, we use website analytics to understand how the public site is used.
We do not use a student's learning records for advertising. If you receive optional course or newsletter updates, you can ask us to stop them.
Cookies and analytics
The public website offers a choice about optional Google Analytics cookies. Analytics does not load unless you select “Accept analytics”. Selecting “Reject analytics” leaves the website and portal available without that tracking. Where your browser allows it, we store your choice there so we can remember it.
You can reopen Cookie settings from the public-site footer and change your choice. Rejecting after acceptance stops future Analytics loading on this browser and attempts to remove its first-party cookies; it does not undo data previously sent to Google.
Who can see it
Academy staff may access records needed to run and supervise the service, including portal conversations. Tutors can see the student and class information needed to teach their assigned students. Students see a tutor's teaching profile, not their private application or contact details. Other families do not receive your portal records.
We use service providers for hosting, database and file storage, email delivery, analytics, and Google Calendar and Meet class rooms. These providers may process information in countries outside Pakistan or your own country. We may also share information when required by law or needed to address a serious safety concern.
Children and guardians
A parent or guardian must agree to the creation of a portal account for a student under 16 and provide guardian contact details. We use those details to manage the child's classes and contact the responsible adult when appropriate. Tutors and Academy staff must keep routine communication within Academy-supervised channels.
A parent or guardian can contact us about a child's information. We may need to verify their identity and relationship to the child before acting on a request.
Keeping information
We keep information for as long as needed to provide the service, maintain teaching and financial records, resolve disputes, meet legal obligations and protect students. Different records may require different periods. When information is no longer needed, we delete or de-identify it where practical. Backups may take longer to cycle out. A request to close an account does not necessarily remove signed agreements or records we are required to keep.
Your choices and requests
You may ask us what personal information we hold about you, request a correction, or ask us to delete information we no longer need. Email contact@virtualislamicacademy.com. We will verify requests and explain if a legal or safeguarding reason prevents a change or deletion. You can also use your browser settings to manage cookies, but this may affect some site features.
Changes to this notice
We may update this notice as the Academy or its tools change. The date at the top shows the current version. For significant changes affecting portal users, we will use an appropriate account or email notice.
